The Challenge

Our client, an automotive service provider, faced significant operational inefficiencies managing client relationships, service contracts, and vehicle maintenance orders. Their existing workflow relied on disconnected spreadsheets and manual document generation, leading to:

  • Time-consuming manual data entry across multiple systems
  • Error-prone invoice and receipt generation processes
  • Limited visibility into contract performance and profitability metrics
  • Difficulty tracking order status and service history across multiple clients
  • No centralized product catalog or cost management system
  • Inability to generate professional PDF documents quickly for clients

The lack of an integrated system made it challenging to scale operations, maintain data accuracy, and provide timely service to growing client demands.

The Approach

We designed a modern, role-based business management platform tailored specifically for automotive service operations. Our strategy focused on:

User-Centric Design: We built an intuitive interface with role-based authentication and session management to ensure secure, seamless access for authorized personnel.

Modular Architecture: We structured the application around core business entities—clients, projects, contracts, orders, and products—enabling clear separation of concerns and maintainable code.

Real-Time Data Integration: We implemented server-side rendering with Next.js 15 to fetch real-time dashboard statistics and contract data, ensuring users always see current information.

Document Automation: We integrated PDF generation capabilities directly into the workflow, allowing users to instantly create invoices, receipts, and estimation sheets from order data.

Financial Transparency: We built comprehensive analytics that automatically calculate profit margins, revenue trends, and expense tracking across projects and contracts.

The Solution

We delivered a full-featured web application with the following capabilities:

Dashboard & Analytics: A centralized dashboard displays key performance indicators including total sales, spending, and profit. Users can view contract statistics, order revenue breakdowns, and status distributions at a glance.

Client Management: Complete client profiles with contact information, addresses, and historical data tracking total contracts, expenses, revenue, and profit per client.

Contract Tracking: Full lifecycle management of client contracts with document numbers, duration tracking, start and end dates, revenue projections, and real-time status updates.

Order Processing: Detailed order management system capturing vehicle information (plate numbers, chassis numbers, engine numbers, vehicle models, and years), service details, line items with SKUs and quantities, and automated cost calculations.

Product Catalog: Comprehensive product database with SKU tracking, category management, cost and pricing controls, and automatic markup calculations.

PDF Document Generation: On-demand generation of professional PDF documents including invoices with itemized breakdowns, estimation sheets for cost projections, and receipts for payment confirmation.

Financial Controls: Built-in support for tax calculations, discount management, and profit margin analysis across all business entities.

Advanced Filtering: Powerful search and filter capabilities across all modules, supporting date ranges, status filters, cost ranges, and multi-parameter queries.

Data Export: Bulk document generation with ZIP archive downloads for contract order recaps and batch reporting.

The platform is built as a responsive single-page application with optimized performance, implementing pagination for large datasets and real-time cache invalidation to maintain data consistency.
